State Office of Nature Preservation with YMS Group

The State Office of Nature Preservation (SONP) began this year using a turnkey solution from YMS Group to prepare and manage its Key Tasks Plan (KTP), which is mandatory for all budgetary and subsidised organisations of the Ministry of Environment.

 

This solution assists SONP in preparing its annual Key Tasks Plan with ease and oversight. The system from YMS Group tracks the tasks, the budgets, the costs of each task and also allows for tracking the implementation of the plan. The system also automates the preparation of regular reports for the Ministry.

The new system simplified and accelerated the previously time consuming process of Plan preparation. The chosen tasks are entered directly into the system, which tracks all necessary connections, such as the links between individual tasks, connections to a number of subtasks, the person responsible for a subtask, as well as the person responsible for the whole task itself. Distribution of tasks into categories is also possible. In planning the budget for the Plan, the system assists by automatic calculations according to specified criterions. For example, cost of labour can be calculated automatically according to preset rates.

The benefit of the new system is not only in its ability to prepare the Plan, but also in tracking the Plan as it is being implemented throughout the chosen time period. The system produces budget calculations and a variety of reports, which are directly tied to the needs of the SONP and the Ministry of Environment. The system copies the organisational structure of the SONP, and thus is usable for a number of departments at the same time. These departments don’t influence one anothers‘ tasks and budgets, but are able to produce reports and summaries for its own department, as well as for the whole organisation.

The State Office of Nature Preservation will present the system and its benefits on this year’s ENVIROFORUM conference, which will take place in May in Zvolen.
